Get to Know: Staff Placement

Learn how to see applied and hired staff together, assign them to positions, and hire them directly from one workspace.

When staffing season ramps up, you may find yourself moving between different areas of the system.

Staff Placement brings applicants and hired staff together so you can assign roles, view open positions, and hire—all in one visual workspace.

During staffing season, it’s easy to move between tools. The Applicant Tracking System manages applicants. Staff Management handles contracts and employment details. Staff Placement connects both, giving you one place to organize and make hiring decisions.

Use Staff Placement when you want to:

  1. See applicants and hired staff in one view

  2. View open and filled positions

  3. Assign staff to roles

  4. Hire directly into assigned positions

Staff Placement helps you balance your staffing plan without switching between tools.


Use the Applicant Tracking System when you need to:

  1. Update applicant statuses

  2. Move candidates through hiring stages

💡Tip: If you’re only changing applicant statuses in bulk, use Staff Recruitment.


Use Staff Management when you need to:

  1. Manage contracts

  2. Update pay rates

  3. Make bulk changes to hired staff

💡Tip: If you’re only managing contracts or batch updates for hired staff, use Staff Management.


Set up and use staff placement

Staff Placement is built around three main steps: selecting positions, creating groups, and placing staff. From there, you can hire directly from the same screen.

Select your positions

When you first open Staff Placement, you’ll choose which positions to include for the season.

  1. Navigate to Staff > Staff Placement.

  2. Select the positions you are actively filling this season. This list is generated from positions already created in Campminder.

    Note: To create new positions, navigate to Campminder > Admin > Staff Setup > Positions.

    💡Tip: You don’t need to include every position your camp has ever created. Focus only on roles you’re filling this season. You can update your selection at any time.

  3. Click the Confirm and Continue button to load the positions into your placement workspace.

Create groups

Groups help you organize positions in a way that matches how your camp operates. Most camps use program areas or departments as their groups.

Examples might include: Athletics, Waterfront, Arts, and Leadership Team

To create a group:

  1. Click the Add New Group button and enter a clear group name.

  2. Select which positions belong in that group.

  3. Define how many staff you need for each position and choose a color to visually distinguish the group.

  4. Click Save Changes.

💡 Tip: If you already group staff by program area, use that same structure here. It will feel natural for your team.

Place staff into groups

Once your positions and groups are set up, you’re ready to start placing staff.

Your Available Staff list includes everyone eligible for the season through your roll-up. This includes returning staff and new applicants.To place staff:

  1. Use the search bar or scroll through the Staff Available list.

  2. Click and drag a staff member into the appropriate group and position.

  3. Repeat as needed across groups.

Note:

  • Staff remain in the Available Staff list even after being placed. Think of this list as a “well” you can pull from more than once.

  • You can place the same person into multiple groups if they are filling multiple roles.

  • Each group includes position anchors so you can quickly jump to a specific role without scrolling.

Adjust Staff Placement

  • To remove someone from a group, click the X on their card or drag them out.

  • To move someone between groups, drag them from one group to another.

Hire staff directly from placement

Placement and hiring are two separate actions. You can plan and adjust placements before making anything official.

When you’re ready to hire:

  1. Locate the staff member’s card within their assigned position.

  2. Click and hold the Hire button to confirm.

  3. Review and confirm the hiring details.

  4. The person’s Campminder record is updated — their status changes to Hired and their position is assigned.

  5. Their card in Staff Placement updates to reflect the official position instead of Applied Position.

💡 Tip: You do not need to navigate to the person record or Reporting to complete the hire. Staff Placement handles the update automatically.

How hiring updates records

Once hired through Staff Placement:

  • The staff member’s status is updated to Hired.

  • Their position is officially assigned in Campminder.

  • They are now available in Staff Management for contract and onboarding tasks. There is no need to manually update their person record after hiring from this screen.
