Day Camp Attendance Setup

Setting up Day Camp Attendance helps you keep track of campers at every checkpoint. Start by creating two groups: 'Categories' and 'Check Points'.

Paperless Attendance Admin: Checkpoint Configuration

Access to Paperless Attendance is enabled though the "Checkpoint Setup". You will select staff for access at your checkpoints.

  1. Navigate to Travel > Day Camp > Attendance. Select the "Checkpoints" button from the table on the right.

  2. Select from the dropdown menu the Attendance Category to edit.

  3. To add a Checkpoint, click the green "Define New" button located at the bottom right of the window. Add in checkpoint information.

  4. Pay attention to the "Staff Attendance Access"; here you select your staff who will have access to Paperless through CampInTouch.

💡Tip: Hold the Ctrl key to select more than one staff member from the list.

  5. Select the green "Save" button when all staff have been chosen.

Adult Authorization

By activating Adult Authorization in your paperless attendance system, you ensure that only authorized adults can check campers in or out at specific checkpoints. This setup helps monitor and approve camper movements, boosting both safety and accountability.

  1. Navigate to Travel > Day Camp > Attendance > Checkpoints. Notice the "Adult Authorization" Column.

  2. For any checkpoint you need authorized adults being checked by staff, select the yellow "edit " button and click the "Enabled" radio button.

  3. Click the green "Save" button.

Note: The Adult Authorization feature works in conjunction with specific statuses at each checkpoint type. Below is a breakdown of statuses (configured in Travel > Day Camp > Attendance > Checkpoints) that trigger the Adult Authorization experience:

    • To Camp: Check-In, Check-Out, Present

    • At Camp: Check-In, Check-Out

    • From Camp: Check-In, Check-Out

    📖Related Help Materials:

  4. When enables, staff will see the "Authorized Adult" list included in the camper check-out procedure.

  5. If you fail to check the box for verification, you will receive an error notice and be directed back for selection.

💡Tip: Staff can add authorized adults directly from the Paperless Attendance module. Simply click the plus sign (+) for "Unregistered Adult" and enter the details of the individual authorized for release.

Paperless Attendance through CampInTouch

Paperless Attendance is linked to hired staff through the CampInTouch page. Access is available from a tablet or phone with WiFi access.

Note: If NO STAFF are selected for a checkpoint, paperless will not be available to anyone as an attendance option in CampInTouch.

  1. Log into CampInTouch. Select 'Attendance', and then your 'Checkpoint' from the dropdown.

  2. Select the filter (if using). Otherwise, use the 'All' dropdown.

Note: Filters are the assignments for each individual camper. This includes 'Groups', 'Busses', 'Car', 'Before Care', and 'Exceptions'.

  3. Select the camper from the dropdown list and check the appropriate box. The checkpoint options we have setup in the example below are 'Absent" or 'Present.'

Note: Busses are ordered with their bus stop progression. Campers at each stop are listed alphabetically by last name.

💡Tip: You can setup different attendance options to best categorize a campers status at a location.

Example: you can choose to have 'present' and 'absent' at the bus checkpoint, and 'Checked in' and 'Checked Out' at your morning group checkpoint. These settings are available through Travel > Day Camp > Attendance > Checkpoint
