Learn how to distinguish and use the four different enrollment reports.

Enrollment reports provide a quick and simple way to manage session capacities, track enrollments, and identify returning campers who haven't enrolled yet. They offer a straightforward alternative to our robust user report builder.

This article reviews the four built-in Enrollment Reports:

Run an Enrollment Report

The enrollment report is the perfect solution! It provides an easy-to-read view of who is enrolled in specific sessions and programs.

  1. Navigate to Reporting > Enrollment > Enrollment Report.

  2. Select the "Session(s)", "Program(s)" and/or "Days of Operation" to pull information for your report.

  3. Select the "Session" status and optional "Person" status or statuses for your report.

  4. Click the radio button to choose a detailed report, or a summary report. A detailed report will include individual camper names, while a summary report will only show numbers of campers. Select the "Output Type", PDF or CSV.

    ๐Ÿ’กTip: the enrollment report is not configurable beyond the options listed above. If you need the ability to do inline editing, to configure which fields show in the report, or to export to CSV, consider User reports instead.

Important Considerations:

The order of the sessions shown on this report is determined by your Session Setup under Admin > Camper Setup > Season Settings.

  1. To change the order, access the "Definitions" menu > Sessions in the upper right of that page, and click the "Arrange" button.

    Note: Any changes you make to the sort order will also be reflected to your applicants on the Camper Application - the Arrange button controls both the report and the Camper App display.


Run an Enrollment Comparison

The Enrollment Comparison Report lets you easily compare daily enrollment between this season and last.

Note: If you have two seasons open, this report will compare your oldest open season against your most recently closed season.

  1. Navigate to Reporting > Enrollment > Enrollment Comparison. Select the session(s) and Program(s) to pull information for your report.

  2. Choose how you'd like to sort your report:

    • Gender, Grade

    • Grade, Gender

    • Division

  3. Click the green ''Generate Report'' button.

    Note: This report gives you basic overview information, and is not configurable beyond the options listed above. It's meant to provide quick, at-a-glance info.

    ๐Ÿ’กTip: To gain detailed insights, consider generating user reports for each season. Export these reports to CSV format and use an external system, such as Microsoft Excel, for a thorough comparison.


Run a Capacity Report

Campminder's Itemized Capacity system helps you easily track and manage session capacities, keeping enrollment on track.

Note: You can view multiple sessions in a single report for a comprehensive look at your capacity. Access this information through Admin > Camper Setup or the Reporting module.

  1. Navigate to Admin > Camper Setup > Season Settings > {Current Season}, expand a session, and click the Itemized Capacity Settings button to view detailed statistics.

  2. Navigate to Reporting > Enrollment > Capacity Report. Choose your season and Session Group from the dropdown at the top left.

  3. Click Run.

  4. If you wish to download the data, click the purple "Generate .CSV" button.

  5. This report shows the session group, session or program, gender, age range, grade range, capacity limit, number enrolled, number applied, number waitlisted, and total spots remaining.

    Example: if you have sessions for 1st-4th graders and 5th-8th graders, each will appear on its own row. If your capacity is exceeded (e.g., manually enrolling kids in a waitlisted session), the spots remaining number will turn red.


Run the Camper Directory

This report quickly organizes campers by division or last name, including bunk, session details, and parent contact information.

๐Ÿ’กTip: Print this report to have a backup of contact information when you're away from your computer or without Wi-Fi.

  1. Navigate to Reporting > Enrollment > Camper Directory. Select the season, and the session to include on the report.

  2. Check the "Include Cancelled, Withdrawn, and Left Early Campers if you need that information printed as well.

  3. Select the divisions to include, choose whether to run the report for both genders, and decide how to sort it (by last name or division).

    ๐Ÿ’กTip: You can Deselect all Divisions" using the purple button at the bottom to uncheck the boxes.

  4. Click the green "Generate Report" button at the bottom to run the report.
