Enrollment Dashboard: Check Your Season's Enrollment at a Glance

By the end of this article, you'll be able to use the Enrollment Dashboard to read your season's enrollment at a glance, compare it to past seasons, and drill into specific sessions, leads, and returning campers.

The Enrollment Dashboard brings enrollment numbers together in one place, so you no longer have to piece them together from the Home page Charts widget and the Enrollment report.

It gives you a live view of enrollment, with easy options to filter, compare, and export your data.

User Permissions

  1. You’ll need chart permissions enabled within the user groups your assigned by your camp in order to access the Enrollment Dashboard.

  2. Navigate to Admin > User Groups to edit permissions.

    💡Tip: If you don’t see the dashboard or get an access message, ask your camp’s admin to grant you chart access.

  3. Navigatge to Reports > Enrollment Reports and select Enrollment Dashboard.

🎯 Try it now: Go to your Home page and open the Enrollment Dashboard from the banner or menu. Come back once it's loaded.


The Enrollment Summary

📋 Note: The dashboard doesn’t show capacity or percent of capacity. Use the Capacity Report to gauge where a session stands.

  1. Open the Enrollment Summary card to see enrolled, applied, waitlisted, and cancelled counts at a glance, along with your new vs. returning enrollment split.

  2. Select View records to see the campers behind those numbers.

  3. Select any column header within this view to filter or sort the list.

  4. Select Campers or Camper weeks at the top of the dashboard to change how enrollment is counted.

📋 Note: Camper weeks count the total weeks a camper attends across all sessions. Shorter sessions count as a fraction of a week. Because of this, your camper-weeks total can be lower than your camper count. For example, a five-day session counts as 5/7 (about 0.71) camper weeks.


🎯 Try it now: Open the Enrollment Summary card, then toggle between Campers and Camper weeks to see how your total changes.


Filter and Drill Into Sessions

  1. Use the season and session filters at the top of the dashboard to narrow what every card shows.

  2. Open Camper Sessions to see enrolled, applied, waitlisted, and cancelled counts for each session, compared to the same date last season.

  3. Select a Session Group from the list to expand it and see its individual sessions. Select it again to collapse it back down.

  4. Select View All in the top right of the Camper Session card to break results down by grade, age, or gender.

    💡 Tip: View All appears on most cards throughout the dashboardlook for it whenever you want to drill into the numbers behind any card, not just this one.

📋 Note: The "vs. last year" comparison on Session Breakdown only appears once your camp has a prior season to compare against.


Track Leads and New Enrollments

  1. Open the New Leads card to see how many families have shown interest this season but haven't enrolled yet.

  2. Select a lead to open their record in a new tab.

  3. Open the New Enrollments list to see your most recent enrollments, one camper per row.

  4. Group the New Enrollments list by household, session, or session group to view it a different way.

💡Tip: Use the Enrollment card to see what share of them have converted to enrolled campers.

Compare Seasons and Returning Campers

Compare enrollment across seasons to see how this season is tracking against previous years.

The year to date shows your enrollment pace compared with the same date last season, while the season totals view shows final enrollment totals for past seasons.

💡 Tip: Use the same-date comparison to see whether you’re ahead of or behind last season’s pace before a big recruitment push.

  1. Open the Year over Year card to compare this season to prior seasons. The headline compares today's enrollment to the same calendar date last season, so you can see your pace.

  2. Switch to the full-season view to see each past season's final enrollment total. Your current season shows as partial since it's still in progress.

  3. Open the Camper Loyalty card to see the share of Campers this season that have attended before, along with a 3-year trend and your top and bottom sessions for return rate.

  4. Open the Camper Tenure card to see how many seasons each currently enrolled camper has attended, including this one.

📋 Note: Camper Loyalty counts anyone who attended in any past year as returning when you're viewing your whole camp. Filter to a single session, and it only counts campers who returned to that same session.

🏕️ Camps in Action

A director opened the Enrollment Dashboard two weeks before a big registration deadline and checked the Year over Year card.

Enrollment was tracking behind the same date last season, but the Session Breakdown card showed the gap was concentrated in her June Camp session. She pointed that week's marketing push atthat specific sessions instead of the whole camp, and the trend line closed by the deadline.


Export and Refresh Data

  1. Select Export on any card to download it as a CSV or PDF.

  2. Select Refresh at the top of the dashboard to load the latest available data.

📋 Note: The data can be manually refreshed, with a typical 20–30 minute delay. Changing filters also triggers a data refresh.
