Activities allows you to add Meals, Meetings and Activities that your clients may choose for their rentals.
Adding Activity Locations
Let's begin by adding to locations of your Activities. Examples include Dining Hall, Conference Room, or an Outdoor Field.
Navigate to Setup > Activities > Activity Location
Click the purple 'Add Activity Locations' button on the bottom right.
Give a name to the activity Location. Select the site (created in Housing Setup) and a Capacity for how many attendees can participate or be within the space.
You will notice that when you create a location where an activity takes place, you can also add a line item. This allows you to rent the entire location.
Example: the lake site where Canoe lessons take place could additionally rent as an sports-related gathering spot for a rental. Creating a line item for the entire space and connecting it to the Activity Location offers this flexibility.
Adding Inventory
Inventory is helpful for keeping inventory on items that may be associated with your Activities, Meal, and Housing. These could be the number of bows you have for Archery, cutlery for meals, or the projector in your conference room.
Inventory is connected between your housing and activities setup. If you've previously created inventory for housing, you will see it populate the activities inventory tab, and vice versa.
Select the purple 'Add Inventory' button on the bottom.
Add a Name for the item and a total available number. Click 'Save'.
Tip: You can add inventory items to your meals to track needed items for setup and serving.
Adding Meals
Meals are tied to a default activity location, so be mindful when adding these to each meal name. You can additionally choose to restrict meals to specific locations.
Navigate to Setup > Activities > Meals
Click the purple 'Add Meal' button on the bottom right. Add a meal name, default location (and whether to restrict to this location), and capacity from the dropdown menus and open fill.
The 'Default Duration' is where you can set a length of time for the meal, while 'Default Time' assigns a starting time.
You can add a Line Item and default charge to the meal, or leave it blank.
Click 'Save'.
Click the 'Inventory' button to add any items to the specific mean, such as cutlery, linens, and prep items. Adding inventory to meals add an extra level of inventory control, and makes it easy to identify missing items.
the grey 'Default Meals' button on the bottom left is where you set a default Breakfast, Lunch, and dinner should you not need additional details attached to meals.
Adding Recreation
Recreation is where you can add all of your engaging and exciting activities for your guests to enjoy! Attach default locations, charges, tasks and inventory to make managing activities across many locations quick and easy.
Navigate to Setup > Activities > Recreation
Click the purple 'Add Recreation Activity' on the bottom right.
Edit the 'Recreation Activity Name', 'Default Location' (the dropdown list is populated when you enter Activity Locations in the first tab of 'Activities'), and if the activity is restricted to this location.
If desired, set the 'Capacity', 'Default Duration', 'Default time', and attach any charges associated with he activity with a 'Line Item' and/or 'Default Charge'.
As with other tabs, you can assign 'Tasks' and 'Inventory' to Recreation.
Adding Meetings
In Gazebo, Meeting populate identically to Recreation in its setup. The distinction is how you market the space to clients from a functionality perspective.
Navigate to Setup > Activities > Meetings
Click the purple 'Add Meeting' on the bottom right.
Edit the 'Meeting Name', 'Default Location' (the dropdown list is populated when you enter Activity Locations in the first tab of 'Activities'), and if the meeting is restricted to this location.
If desired, set the 'Capacity', 'Default Duration', 'Default time', and attach any charges associated with he activity with a 'Line Item' and/or 'Default Charge'.
As with other tabs, you can assign 'Tasks' and 'Inventory' to Meetings.
